HEADQUARTERS SERVICES
We are located at 1405 Warner Ave., Tustin. We provide more than a permanent
address for your association, we provide a home, with boardroom and classroom and on
site storage of supplies. The GSE team is large enough to staff several concurrent events.
TELEPHONES
Our professional phone service is your communication link with the general public
and your Association members. We provide information on membership, activities and take
reservations for meetings. Your private lines will be answered with your organization's
name from 8:30 AM to 5:00 PM, Monday through Friday with the exception of major holidays.
Voicemail is available.
MATERIALS AND EQUIPMENT STORAGE
An off site storage facility is available for any financial records, oversize props,
decorations or equipment at a nominal rate.
ADMINISTRATIVE SERVICES
Our staff will coordinate the printing of stationery and brochures presenting
bids to the Board of Directors. The volume of our business with vendors allows for special
rates. Consequently, these savings are passed on to our clients.
BOARD AND COMMITTEE MEETINGS
Your Executive Director will attend Board and necessary Committee Meetings in order
to maintain professional continuity. The Executive Director will record and transcribe
minutes, act as liaison with committees and mail Board Packets (Agenda, Minutes, Financial
Reports, etc.).
CORRESPONDENCE/E-MAIL
We handle the daily administration of correspondence, responding to or forwarding
information to Board Members and Committee Chairpersons as necessary. GSE is equipped
with e-mail capabilities and fax-broadcasting, insuring timely communication with our clients.
MEMBERSHIP/PROGRAMS
We process membership requests, distribute new member applications and
invoice member dues. Your membership data (computerized mailing list and roster
information) is updated regularly and maintained on a confidential basis. We are
experienced in acting as a liaison and problem solver with state and national
affiliated organizations.
RESERVATIONS, REGISTRATION, SPECIAL EVENTS
GSE has years of experience in hosting successful international conferences,
tradeshows, legislative events, seminars, golf tournaments, annual installation
banquets, picnics and theme parties. We coordinate, schedule, organize, publicize
and provide staff for all types of special events. Our services include site inspection,
contract negotiations, ordering and maintaining member nametags, preparing registration
information, on site staffing and reconciling the proceeds.
NEWSLETTERS, MEETING NOTICES & DIRECTORIES
The Executive Director coordinates with the Newsletter Committee Chair in preparing,
publishing and distributing, on a timely basis, your newsletter and announcements. We will
provide support for your committees to compile, organize, print, proof and distribute your
membership directory. When appropriate, the Executive Director will assist in selling and
promoting advertising space.
FINANCIAL RESPONSIBILITIES
GSE has an on-staff controller to provide all necessary accounting services performed
in compliance with Generally Accepted Accounting Practices (GAAP): timely deposits, expense
reports, event reconciliation, check preparation, coding of all invoices, billing and
collections, maintenance of financial records, preparation of monthly financial statements,
banking functions and budget preparation assistance. Our controller provides cash
management services and financial investment planning.
WEBSITE DESIGN AND HOSTING
We realize more than ever organizations must quickly and effectively communicate with
their members and the public. Today’s website is one of the major tools used by associations
to stay connected to their membership, announce events, process registrations, publish industry
related articles, etc. Let us use our expertise in association management to help build a
site reflecting your organization’s mission.
ASSOCIATION DEVELOPMENT
STRATEGIC PLANNING
Gayle Stewart facilitates planning sessions. During these sessions an organization
creates its mission statement, develops tactical and strategic plans and sets attainable
goals. Programs for new markets, product standards and technology can be formulated
through this process.
MEMBERSHIP GROWTH
There are many membership promotion and retention programs that an organization
may adopt depending upon: financial resources, structure, manpower, number and types of
prospects. A membership program can be developed after careful consideration of all
factors involved. Our staff will work with your Membership Committee to design and
implement a membership plan, focused on retaining existing members and recruiting new members.
NON-DUES REVENUE
Sources of non-dues revenue are the lifeblood of most associations. Our extensive
experience with multiple organizations enables us to advise our clients on creative
avenues to help balance the budget and establish reserves.
